HubSpot requirements and permissions

What your HubSpot account needs, what the app can access, and who can change Transactional Email settings.

Transactional Email runs entirely inside HubSpot. This article covers what your HubSpot account needs, what the app asks HubSpot for when you install it, and who on your team can do what.

Requirement Why
At least one Professional or Enterprise hub that includes workflows The app sends from a workflow action, and workflows need a Professional or Enterprise hub.
Access to HubSpot’s marketing email editor Templates are HubSpot marketing emails. You don’t need Marketing Hub Professional or HubSpot’s own transactional email add-on.
App Marketplace Access for the person installing HubSpot only lets users with this permission install apps. Super Admins have it.

Recipients don’t need to be marketing contacts, and Transactional Email sends don’t count toward HubSpot’s marketing email send limits.

When you install, HubSpot asks you to approve these permissions:

  • Contacts — read contacts to look up the recipient and fill in tokens, and write the three Transactional Email contact properties.
  • Contact properties — create the Transactional Email property group and its properties.
  • Companies — read the recipient’s primary company for {{ company.* }} tokens.
  • Marketing emails — read the emails you choose as templates.
  • Workflows — provide the Send transactional email action.
  • Timeline — add Sent, Bounced, and Complaint events to the contact timeline.
  • Users — check whether you’re a Super Admin, so only Super Admins can change settings.

Users who aren’t Super Admins see Settings with a View only notice: they can read every tab — sender profiles, the sending domain and its DNS records, templates, billing, and alert recipients — but get no buttons to change anything. If you need a change, ask a Super Admin in your HubSpot account.

Can I give a non-admin access to Settings? Not separately. Transactional Email follows the HubSpot Super Admin role. Make the person a Super Admin in HubSpot, or ask an existing Super Admin to make the change.

Does the app change my existing contacts? Only the three Transactional Email properties — after a send, a bounce or complaint, or when a Super Admin clears a suppressed address. It never edits other properties.
