Welcome to Transactional Email

Send receipts, subscription notices, and account notifications from HubSpot workflows, using emails you design in HubSpot.

Transactional Email is a HubSpot app that sends one-to-one transactional emails — receipts, subscription notices, account notifications — from any HubSpot workflow. You design the email in HubSpot’s email editor, add the Send transactional email action to a workflow, and the app delivers the email from your own domain.

You don’t need a developer, a separate email-provider account, or HubSpot’s transactional email add-on. Domain authentication, warm-up, bounce handling, and suppression are built in and run automatically.

  • Templates are ordinary HubSpot marketing emails built with the standard drag-and-drop modules. Tokens like {{ contact.firstname }} fill in from the recipient’s contact record and primary company.
  • The workflow action, Send transactional email, sends one template to one recipient and returns a send status your workflow can branch on.
  • Sender profiles are saved From names, addresses on your sending domain, and reply-to addresses. You pick one from a dropdown instead of typing addresses. Until you go live, a built-in sandbox sender works with no setup.
  • Your sending domain — ideally a subdomain like notify.acme.com — is where live emails come from. You prove you own it by publishing a few DNS records.
  • The content review checks every template version automatically to make sure it’s transactional, not promotional, before it can send.

Transactional Email has two screens inside HubSpot, both under Marketplace apps → Transactional Email:

  • App Home shows your setup checklist, usage, sending status, domain health, errors, reporting, the send log, and a billing summary.
  • Settings is where you manage your Sending domain, Sender profiles, Templates, Billing, Alerts, and Sending. Super Admins can change settings; everyone else sees them read-only.
  1. Install the app from the HubSpot App Marketplace. Your account starts in the sandbox: 20 free test sends, from our shared sandbox address.
  2. Send a test email from a workflow with the built-in sandbox sender to see the whole flow work.
  3. Add your sending domain, publish its DNS records, and create a sender profile on it.
  4. Accept the Acceptable Use Policy and subscribe. Once your domain verifies, live sending starts and warm-up begins.
