Managing sender profiles
Edit, set a default, or delete sender profiles, and know which workflows a change affects.
Overview
Section titled “Overview”Sender profiles live in Settings → Sender profiles (in HubSpot, Marketplace apps → Transactional Email). Workflow actions point at a profile, not at a copy of its addresses, so editing a profile changes every workflow that uses it from the next send onward.
Only Super Admins can change profiles. Everyone else sees the list read-only.
Edit a profile
Section titled “Edit a profile”- Open Settings → Sender profiles and click Edit next to the profile.
- Change the fields you need — From name, From address (the part before the @), or Reply-to.
- Click Save changes.
The next email from every workflow using this profile goes out with the new details. Emails already sent aren’t affected.
The From address is always on your sending domain: you edit only the part before the @. If you replace your sending domain, every profile moves to the new one without an edit.
Change the default profile
Section titled “Change the default profile”Exactly one profile is the default, marked Default in the list. It’s listed first, marked (default), in the Sender profile dropdown when someone adds the Send transactional email action to a workflow.
- Open Settings → Sender profiles.
- Click Make default next to the profile you want.
The previous default becomes an ordinary profile. Existing workflow actions keep the profile they already have — changing the default only changes which profile is listed first for new actions.
Delete a profile
Section titled “Delete a profile”- Open Settings → Sender profiles and click Delete next to the profile.
- Click Delete profile to confirm.
Workflows that still use a deleted profile don’t send: the action returns
sender_invalid (Sender invalid). Before you delete a profile, open the
workflows that use it and pick another profile. If you delete the default, the
oldest remaining profile becomes the default. Afterwards, App Home’s Errors
in the last 7 days counts any sender_invalid failures; the workflow’s
history shows which records they were.
When a profile stops working
Section titled “When a profile stops working”A profile fails with sender_invalid when:
- It was deleted.
- You’re live and your sending domain was removed or stopped verifying. Once you’ve been live, sends don’t fall back to the sandbox address.
- You’re live and the action still uses Sandbox sender (sandbox only), which only sends in the sandbox.
Verify your sending domain again (or pick one of your profiles in the workflow), and re-enroll the records that didn’t get their email.
